Sustainability Policy

We at Planit Travel understand our key role and influence in the sustainability development of travel. As a corporate travel company that engages with various stakeholders in the industry, such as: consumers, airlines, travel agencies, accommodation providers, transport companies, restaurants, and other service providers.

We are committed to advocate sustainability by following, implementing and promoting good sustainability practices to maximize the positive impacts and minimize the negative impacts of our operations and to influence our clients and partners to do the same.

Our sustainability policy is divided into 8 themes. Each theme consists of a set of principles and practical actions accordingly.       

1. Sustainability Management & Legal Compliance

We commit to sustainability management, practiced by the following actions:

  • To appoint an employee who is responsible for sustainability coordinator tasks;
  • To have a sustainability mission statement that is communicated to employees, customers, partners and suppliers;
  • To have an accessible and written sustainability policy that aims to reduce the negative social, cultural, economic and environmental impacts of our activities; and includes employee related health and safety aspects;
  • To conduct a baseline assessment of the company’s performance on sustainable practices;
  • To have sustainability action plan with clear targets, actions, measures, responsibilities and time planning;

We commit to complying with all national legislation, regulations and codes of practice.

2. Internal management: social policy & human rights

We commit to sustainable internal management by having clear written and well-communicated social policy that includes the following principles:

  • To grant employees the freedom of employment and contract termination with notice and without penalty;
  • To include a job description in the employment contract and labour conditions according to national labour law;
  • To provide a code of conduct as a guidelines for employees in the workplace;
  • To ensure that the wage rate equals or above the national legal wage and is mentioned in the employment contract;
  • To determine and compensate of overtime working hours based on agreement;
  • To provide medical and liability insurance according to national law;
  • To grant employees fixed paid yearly holiday and sick leave and unpaid annual leave allowance;
  • To have first aid sets and trained staff available at all relevant locations;
  • To comply with national laws regarding the minimum age for employment;
  • To have effective procedures in place for employees to voice out any problems or complaints;
  • To have a clear disciplinary procedure that is openly communicated to employees;
  • To have a regular measurement system for employee satisfaction;
  • To encourage employment opportunities for persons with special needs;

We commit to practicing human rights by ensuring the enforcement of the following practices:

  • To not hinder trade union membership, collective labor negotiations and representation of members by trade unions;
  • To prohibit discrimination with regards to recruitment, conditions of employment, access to training, and senior positions or promotions, in terms of gender, race, age, disability, ethnicity, religion/beliefs, or sexual orientation;
  • To ensure that all employees have an equal chance and access to resources and opportunities for personal development through regular training and education;

3. Internal Management: Environment and community relations

We commit to practicing environmental protection and enhancing community relations by ensuring the enforcement of the following practices:

  • Actively reduce the use of disposable goods;
  • Favour the purchase of sustainable goods and services, office and catering supplies, giveaways, and merchandise;
  • Set copy and printing machines by default to double-sided printing and reduce the need for printing materials;
  • Print materials on environmentally friendly paper, when possible;
  • Use cleaning materials that are non-hazardous, non-eutrophic, and biodegradable and are certified with an eco-label;
  • Have an active commitment to measure, monitor and reduce energy consumption;
  • Purchase energy-efficient lighting for all areas;
  • Switch off lights and equipment when not in use and set equipment by default in the energy-saving mode;
  • Prefer low-energy equipment when buying new items;
  • Use sustainable water sourcing, which does not adversely affect environmental flows;
  • Install water-saving equipment in toilets, re-use wastewater and/or collected rainwater;
  • Comply with the national legislation concerning waste disposal, including separating all materials which can be recycled and organize the collection and proper disposal;
  • Develop and implement a solid waste reduction and recycling policy, with quantitative goals;
  • Take action to use only refillable plastic bottles of drinking water for office use. Reverse osmosis facilities are also being used on the premises;
  • Implement waste-reducing methods when using ink and toner cartridges for printing and copying;
  • Recycle or properly dispose of batteries;
  • Comply with the national legislation of wastewater treatment, which should be reused or released safely;
  • Use lead-free and water-based paints, both inside and outside;
  • Maintain and properly check motorized company vehicles, to reduce emissions and energy use and make sure they comply with the legal emission standards,
  • Provide periodic guidance, training, and/or information to all staff members, about their roles and responsibilities with respect to internal environmental practices;
  • Comply with land use, zoning, and protected or heritage area laws and regulations; when planning, designing, constructing, renovating, operating or demolishing company buildings and infrastructure;
  • Base planning, design, and construction of new buildings or renovations, on locally appropriate and feasible sustainable practices and materials;

4. Transport

We try to ensure that vehicles used by our clients do not cause more than average pollution. We believe that transport is an important aspect of sustainable travel, and we do our best to decrease the average pollution level.

We commit to this by;

  • Selecting the most sustainable options considering price and comfort when selecting transport options to the destination;
  • Giving preference to carbon-neutral  transport to the point of departure for the international/long-distance journey;
  • Considering and giving preference to more sustainable alternatives, when selecting transport options for transfers in the destination, taking into account price, comfort, and practical considerations;
  • Giving preference to hybrid and electric vehicles for the company’s private fleet which is also used for local client transportation;

5. Accommodations

We try to achieve a supply chain that is fully sustainable. The partner accommodations play an important role in achieving this and are stimulated and motivated to adopt sustainable practices.

We commit to this by:

  • Giving preference to accommodations that have obtained Travelife certification;
  • Ensuring that through our accommodation supply chain, the rights of children are respected and safeguarded;
  • Not contracting accommodations, directly or indirectly that are involved in compulsory labour, or that employ children (<14 years old) working within the business, in accordance with the UN Convention on the Rights of the Child and/or the ILO Convention 138. These conditions are mentioned in the contract with the accommodation.
  • Common repudiation and zero-tolerance policy of sexual exploitation of children. The company will end the contractual agreement prematurely if the accommodation supplier does not take adequate measures to prevent the sexual exploitation of children.

6. Destinations

Since we are a corporate travel management company and the destination is always decided by the client, we still aim to minimize negative impacts at the destination to ensure sustainable development. We commit to this by:

  • Not promoting or allowing the purchase of souvenirs that contain threatened flora and fauna species as indicated in the CITES treaty and the IUCN ‘Red List’;
  • Not allowing the purchase of any illegally obtained historic/archaeological artifacts,
  • Not promoting or allowing the purchase of drugs, or illegal substances, and abide by local and international laws in place to prevent this.

7. Customer communication and protection

Planit Travel values customers’ welfare and information, and therefore we ensure clear and constant communication as well as a high level of protection.

Prior to booking, we commit to this by:

  • Ensure that customer privacy is not compromised;
  • Comply with the relevant standards and legislation in marketing and advertising messages, and not promise more than is delivered;
  • Make sure that the product and price information is clear, complete, and accurate, including sustainability claims;
  • Clearly inform (potential) direct customers, about sustainability commitments and actions;

After booking and during travel, we commit to this by:

  • Keep a contact person and a telephone number permanently available for emergency situations;
  • Train personnel and keep guidelines available, on how to deal with emergency situations;
  • Provide customers with information about commercial, sexual, or any other form of exploitation and harassment, particularly of children and adolescents.
  • Inform clients about applicable legislation concerning the purchasing, sales, import, and export of historic or religious artifacts and articles containing materials of threatened flora and/or fauna in the destination;
  • Motivate clients to use local restaurants and shops (where appropriate);
  • Inform clients on sustainable transport options in destinations, when feasible;

After travel, we commit to this by:

  • Measure systematically client satisfaction and take into account the results, for service and product improvements;
  • Include sustainability as an integral part of the research into client satisfaction;
  • Have clear procedures in case of complaints from clients.
